Privacy policy
Last updated: 8 October 2026
This policy explains what personal data Winepad collects, why we use it, and which companies help us process it. Winepad is a product of Crossworx bv.
Who we are
Crossworx bv, Gerard de Cremerstraat 29, 2650 Edegem, Belgium, company number BE 0700.610.313, is responsible for the personal data described here. For any question about your data, email winepad@crossworx.be.
What we collect
- Your account: your email address, your name and your language. You sign in with a link sent by email, so we do not store a password.
- Sign-in sessions: the IP address and browser you signed in from, to keep you signed in and protect your account.
- What you enter in Winepad: wines, prices, purchases, stock, wine lists and their versions, restaurant details, and the logos and images you upload. This can include supplier contact details, such as a name, email address and phone number.
- Collaboration: the email address of people you invite to a wine list.
- Messages to us: what you send through Help & feedback (your message and attachments), a demo or call request (name, restaurant, email, phone number and preferred times), or the wine merchant waitlist (email address).
- Technical data: your IP address, used for a short time to stop abuse of sign-in and contact forms, and the standard request logs kept by our hosting provider.
Guests and tablets
Guests who open a wine list through a shared link, a QR code or the Winepad tablet app are not asked for any personal data. The tablet app saves the link to the wine list on the tablet and uses the camera only to scan that QR code.
Why we use it
- To provide Winepad and your account, as agreed when you sign up.
- To send what you ask for: sign-in links, notifications such as low stock, invitations to a wine list and orders to your suppliers.
- To answer your questions, feedback and demo requests.
- To keep Winepad secure and prevent abuse, which is our legitimate interest.
We do not sell your data, show ads or build profiles of you.
AI features
Some features use Claude, an AI model by Anthropic: suggestions for your wine list, wine descriptions and translations. Only the content needed for that request is sent, such as wine names, producers, vintages, prices, stock and the sections of your wine list. Your name and email address are not sent. Anthropic processes this data for us under its commercial terms and does not use it to train its models.
Who processes data for us
- Vercel Inc. (United States): hosting of the website and the app, and storage of uploaded images.
- Neon Inc. (United States): the database.
- Amazon Web Services EMEA SARL: sending email through Amazon SES, from Frankfurt (Germany).
- Anthropic PBC (United States): the AI features described above.
Transfers to the United States are covered by the EU-US Data Privacy Framework or by the European Commission’s standard contractual clauses.
When you send an order to a supplier or invite someone to a wine list, we email the address you entered. People you invite see the content of that wine list.
Cookies
- winepad-locale: remembers your language, for one year.
- Sign-in cookies (better-auth): keep you signed in, until you sign out or your session expires. Only set when you sign in.
- winepad-theme (stored in your browser): remembers whether you chose light or dark mode in the app.
These are needed for Winepad to work or remember a choice you made, so we do not ask for consent. Winepad uses no analytics, advertising or tracking cookies.
How long we keep it
- Your account and what you entered: as long as you have an account.
- Demo accounts: deleted automatically after 7 days.
- Uploaded images that are no longer used: deleted automatically after a day.
- Messages and requests to us: as long as needed to handle them and follow up.
Your rights
You can ask to see, correct, export or delete your personal data, and object to or limit how we use it. Email winepad@crossworx.be and we answer within one month.
If you think we handle your data wrongly, you can file a complaint with the Belgian Data Protection Authority (dataprotectionauthority.be).
Data you enter about others
When you enter personal data of others in Winepad, such as supplier contacts or people you invite, you decide what is entered and why. We process that data only to provide Winepad to you.
Changes
We update this policy when Winepad changes. The date at the top shows when it last changed.
